PTF Meeting

May 5, 2009

 

 

Attendees:  Stephanie Earhart, Mellisa Spivey, Pastor Ed, Prairie Oak, Jennifer and Cory Oace, Susan Bradford, Cathy Aime.

 

Auction:  Grossed approximately $18,500, possibly closer to $19,000.  We feel like things overall went really well, especially given that other auctions we’ve heard of haven’t done as well this year.  An auction wrap-up meeting is scheduled to make notes for the next year, and we will also begin the task of writing thank-you’s to everyone.

 

Coffee:  total profit from coffee sales was $64.00.  Jen’s mom will send a check in to the school.  Cathy will pay Sharon Lofton for the equivalent of one bottle of syrup used from the church’s supply ($3.89). 

 

Things to do before the end of school year/first of next school year: 

  1. Laptops-update from Cory:  He explained that all computers come with a standard set of software that will work well for the teachers, and will accomplish most anything they would like to do.  He suggested that we watch Dell ads this summer, as they usually have lots of back to school sales, and we should be able to get a very sufficient laptop for $500 or less.  He also recommends purchasing the service contract.  Cory will put some info together and send to Stephanie.  He also mentioned the website, Bensbargains.net.  They are a site that searches for sales from all the major computer retailers and compiles a listing of them online, with links to the sale site.  (Cory – please correct this if I have it wrong!!  Thx!
  2. Talked about possibly splitting the cost with the church of wiring the chapel for video, sound, etc. 
  3. Briefly discussed the possibility of helping to purchase items for a science lab for the school.  Stephanie will talk to Nadine about this.
  4. Summerfest – Now is the time to decide if we would like to do a float, or something else like last year where we had a horse-drawn carriage.  The booth during Summerfest is a school board project.  Mellisa will send out an email/poll to see about interest for a float.
  5. Discussed ideas for a back-to-school BBQ: this would be a time to meet and get to know your teacher, meet other students, etc.  Other ideas were a watermelon feed in the amphitheater, then visit classrooms.
  6. Talked about the time for PTF meetings next year.  Discussed the pros and cons of morning, afternoon and evening meetings.  Obviously difficult for teachers to come if meetings are held in the morning.  Would like to have the dates/times in the school calendar, and it is published in June.  Mellisa will include this in the poll noted above asking parents what they would prefer.  

 

Here’s the latest information on the 2009 flu H1 N1 type A, courtesy of Cory Oace:

 

  • "Swine Flu" is nothing more than a mutation of the H1N1 flu virus that has been around for the past several years, and this year's variation is actually more "sensitive" (i.e. more effected by) common household disinfectants, alcohol-based cleansers and of course soap and water than past variations of the virus.  This is good news.  For this reason the World Health Organization is trying to change the moniker "Swine Flu" to the "2009 H1N1 Seasonal Influenza".
  • As a side-note, it is common to refer to many ailments as the "flu", but only illness related to the influenza virus is truly "flu".  These cases are limited.  A common cold (which is also typically caused by a virus) is not the flu, nor is the "stomach flu" actually the flu.
  • So what to do?  First and foremost, have a good source of information!  The best place to get updated information and advisory notices is the Centers For Disease Control and Prevention (CDC) at www.cdc.gov.  That is our authority on information for seasonal and non-recurring diseases.
  • As with ANY seasonal illness students, faculty and families are encouraged to wash hands throughout the day (good advice in general) and of course before and after dining and/or using the restroom; if you DO have a cough, then cough into the crook of your arm as you won't spread germs to your hands and it does a more effective job of blocking the cough; keep alcohol cleanser handy for cleansing hands after blowing your nose and of course dispose tissues into the garbage.  Common sense stuff.  FCS has signs to post up at the school if necessary for times of heightened awareness to seasonal illnesses.
  • For 2009 H1N1 (in accordance with CDC recommendations): stay home or go home if you have a sudden onset of fever >100.0°F along with one or more of these symptoms: a sore throat, cough, runny nose or nasal congestion.  Contact your doctor for additional instructions.  Remain away from the public for 7 days after the onset of symptoms.
  • Bottom line: while there is no vaccine for 2009 H1N1 (preventative treatment), it is treatable and sensitive to common disinfectant measures.

April 7, 2009

 

Attendees:  Jennifer Oace, Heather Ivey, Prairie Oak, Pastor Ed, Jacque Allen, Pastor Al, Cathy Aime 
 

Pastor Ed opened the meeting with prayer.


1. Spring Program: pie social.  Need a volunteer to call for bakers. Stephanie has a list of those who baked last time so we don't call them for this.  Prairie will head this up.  Heather, Jennifer and Cathy volunteered to bake a pie.
 

2. There will be an Auction meeting tomorrow in preschool room.  Will meet every Wednesday until the auction.


3. Auction fund-an-item: Laptops (will need 5) one for all teachers except Rashelle, who would like a display bookshelf for her classroom.  Cory Oace will come up with a list of different options/applications the teachers might want on their laptops.


4. Treasurer's Report: $8816.00 balance with several big purchases coming up related to the auction.

Bakery items: Jen handed out examples of costs for bakery items her mother can get through her coffee business at her "cost". These are very nice, high-end desserts. Heather is hoping to get most desserts donated, but if they need more, this is an option.  These would be to sell at the auction.  Heather will let Jen know if she will need any. This bakery needs two days notice.


6. Coffee bar: Jennifer's mom and a helper will be selling iced coffee drinks and Italian sodas.  Her mom will provide all supplies (except for a few syrup flavors the church has) and charge us afterward. She will also bring a cash box with change.  John and Sharon Lofton will be helping as well as keeping water pitchers full at tables.
 

7.  Donations: We have over 170 items donated so far!  It is amazing to see the generosity of so many, even in these economic times!  Please be praying now, for many to come to the auction!

Our next PTF meeting is Tuesday, May 5th at 3 PM.  Hope to see more of you then!

March 3, 2009

 

Attendees:  Stephanie Earhart, Rashelle Earhart, Pastor Ed, Jen Howard, Jennifer Oace, Mellisa Spivey, Michele Stein, Cathy Aime.

 

Mellisa opened in prayer.

 

TV’s:  All are up in the classrooms; following is a breakdown of the total cost to PTF:

3)TV’s- $447 each/$1,341, (3)DVD Players- $29.88 each/$89.64 and (3) Wall Mounts- $59.54 each/$178.62 for a total cost of $1,609.26.  Pastor Al oversaw the electrical work, which included conduit and wires, and there may still be a charge for those supplies. 

Thank you to Cory Oace, Pastor Al, and Pastor Ed for their work on the purchase and installation.

 

Treasurer:  $9187.00 balance.  Expenses over the last month were for Missions Week and classroom supplies.  Stephanie handed out a spreadsheet showing the balances per classroom from the Jog-A-Thon.  Teachers should remember they have this money to use for field trips, special activities, etc. Juli is keeping track of the amounts being used.

 

Open House:  Thursday, March 5th – PTF is providing cookies.  Stephanie has contacted some of the people who volunteered to bake.  Drinks will be ice water and milk. 

Auction:  Stephanie has been working on calling for donations, and has had an excellent response, especially in the Polk County area.  We have between 80 and 100 donations confirmed already.  And, we have received a few larger items for the auction, which will be publicized early to ensure that minimum bids are met.  We have a timeshare at WorldMark Resort in McCall, Idaho.  It is for 7 nights and is a 5-star resort.  We also have been offered a Marquis Spa that holds 6 people and is valued at $11,000.  And we will have a Traeger grill (the model has not yet been confirmed).  If anyone knows of potential buyers for any of these items, they should contact Stephanie or Mellisa right away.

 

Auction Publicity:  Mellisa shared that she and Beth Bonnet have been working on the invitations, which will be ready shortly.  Mellisa will be calling table sponsors from last year, and Christie Ocheske has been calling radio stations, chambers of commerce, etc., all around the area.  The flyer that will go up in businesses is completed.

 

Pastor Ed approved the use of the coffee station during the auction, but asked that we check with Sharon Lofton who serves as our coffee station coordinator.  Cathy will contact her.  The PTF would cover the cost of the supplies, with the profits going to the school.  Jennifer Oace’s mother offered to run the coffee station for the auction.  Discussed whether to have iced or hot drinks or both, and where to have it set up.  If we have only cold drinks like Italian sodas, we could have a table set up in the back of FMC.  If we want hot drinks, would need to have people walk down the hall to the coffee station window.    Jennifer will talk to her mom about how she would like to see it. 

 

Entertainment:  Mellisa asked Mrs. Stein if perhaps the 7th & 8th grade band be able to play 1-2 numbers during the evening.  Mrs. Stein will talk to them to see if they are interested.

 

Fund-an-item:  This has been a popular way in the past to fund an item that each teacher could really use in their classroom, or do something that needs to be done for the school, such as restore the school house bell.  One practical need is for laptops for some of the teachers.   Rashelle would like a display bookshelf for her preschool classes.  All teachers should come up with a wish list and report back to the auction committee.

PTF Meeting

February 3, 2009

 

Attendees:  Jennifer Oace, Pastor Ed, Stephanie Earhart, Mellisa Spivey, Jen Howard, John & Christie Ocheske, Judy Baughman, Cathy Aime.

 

  1. TV's:  The information regarding the TV order in the previous minutes didn't work out.  However, an order has been made locally for 4 - 32" VIZO TV's and four articulating wall mounts to hold them.  Pastors Ed and Al have established a goal to have them up in the classrooms no later then the end of February, so that they are operating for our March Open House.  The cost to the PTF will be $1,521.  There will be some additional cost for DVD players, cables, etc., but well under our $2,000  limit. 

 

  1. Escrip:  Some responses came in via use of the classroom phone trees.  We discussed having a table in the foyer to sign up church members after a Sunday service.  Confirmed that we will get an Escrip form in the registration packets next year along with requests for email addresses, so we won't have this dilemma again.

 

  1. Auction:  Jen went to the last School Board meeting and shared our plans regarding having a dessert auction instead of a dinner, and childcare not being provided.  They understood why the changes were made, had some concerns but still approved them.

 

Heather Ivey is in charge of the dessert committee. They will be decadent ones, no Costco sheet cake here!  We will be providing beverages coffee, tea, water.  Paul Thompson, who will be our auctioneer, charges $300.  Mellisa also shared about possible entertainment: the 6th-8th grade band.  She will check with Miss Kaitlyn. 

 

Stephanie and Prairie have been working on solicitations. This will all be loaded into the auction software we are using.  Stephanie is looking for someone to do on-line soliciting for businesses in the Salem vicinity, who is internet savvy.  This is another great way to get your volunteer hours in and can be done from home.  Please contact her if interested.

 

Additional discussion around the childcare issue.  Final decision: childcare will not be provided.

 

  1. Missions Week - coming up the week of the 9th-13th.  On Friday the 13th, PTF sponsors a pizza lunch for the kids. If anyone can help with that, please let Stephanie know.

 

  1. Treasurer's Report: Current balance is $9,433.  Recent expenditures have been the TV's and miscellaneous teacher supplies.

PTF Meeting

January 6, 2009

 

Attendees:  Pastor Ed, Stephanie Earhart, Mellisa Spivey, Prairie Oak,  Rashelle Earhart, Michele Stein, Judy Baughman, Heather Ivey, Pastor Al, Cathy Aime.

 

 Pastor Ed opened with prayer.

 

1. TV's:  It has been determined that each teacher would like one, so a total of four are  needed.  Wal-Mart seems to have the lowest price and so we will plan to purchase them there.  Pastor Ed to confer with Cory Oace who looked into this initially for us (thanks Cory!), and get any other installation info. we may need.  They will report back well before our next meeting so that we have a final cost.  We have approximately $2000 to work with. 

UPDATE:  Pastor Ed found online 32" flat screen TV's by Sharp for $399.95 each with no shipping charges, so he purchased three for classrooms, plus two additional for Mrs. Stein's room and the computer/conference room.  The church will pick up the cost for the two additional ones as these rooms are used for church activities as well.  Pastor Ed and Cory Oace will be going to the classrooms to determine where to mount them and will also work together to select the appropriate wall mount and DVD player.  Total cost should come in well under the $2000 budget.  PTL!

 

2. Next Fellowship Night - It was decided that instead of another Fellowship night this school year, PTF will provide refreshments for the FCS Open House March 5, 2009.  Rashelle Earhart will give us further direction about the refreshments as we get closer to the actual date.  It was felt that with the calendar filling up and everyone's busy schedules, this was the best decision. 

 

3. Escrip - Stephanie looked into this further now that she's the "online coordinator" and found that only about one third of our families are signed up.  Stephanie will email the classroom representatives a list of who needs to be contacted using the phone tree, and we'll attempt to really encourage this.  It's such an easy way to give money to the school. Please consider signing up if you haven't already!   A suggestion to encourage this next year is to put info on escrip into the enrollment packet at the beginning of the school year.

 

4. Microwaves - decided we will not purchase any at this time.

 

5. Auction surveys - only 13 came back.  This was quite disappointing as we really want everyone's input.  We will update and resend again; the teachers will check them in as they come back.

 

6. Auction -  Mellisa shared her idea for a dessert auction, rather than a dinner, and possibly not providing childcare.  These are our two biggest challenges: requiring the most time, money and coordination.  She suggested a theme around the dessert, like "A Sweet Night Out" etc.  Everyone thought that this was a great idea, and simplifies things.  Paul Thompson, who was our auctioneer last year, is willing to do it again this year.   Mellisa will find out what he charges.  Mellisa also shared about possible entertainment ideas that she had discussed with Kris Golly.  Invitations and donor solicitations are the next big items to work on.  Goal is to have solicitations done by the end of January, and invitations and a special letter out to past table sponsors, done before spring break. 

 

7. After much discussion, we have decided to keep PTF meetings at 3 PM rather than change them to mornings or evenings.  We did decide to recruit a parent for childcare during the meeting.  For February's meeting, Judy Baughman has volunteered.  If you could help in this way, please contact anyone on the PTF board. Remember, this would count toward your volunteer hours for the year!  Thank you.

PTF Meeting Minutes
December 2, 2008

Attendees: John Ocheske, Pastor Ed, Stephanie Earhart, Kris Golly, Mellisa Spivey, Erica Archer, Sue Bradford, Jen Oace, Pastor Al, Cathy Aime.

Pastor Ed opened with prayer.

1. Treasurer’s Report = $12,062 as of this date.
No major expenditures in the last month. It was explained that the money from the
Jog-a-thon is included in the general PTF fund, but is being tracked separately.

Update: We did receive a grant from Wal-Mart for $1000 for the jog-a-thon fundraiser that we weren’t expecting. PTL!


2. New Business:

Pastor Ed brought up several items which were discussed including the following:

  • Discussion around what is the best time to have these meetings, i.e., morning, evening, etc.
  • It was suggested that information from PTF that goes out to all the parents, should go out via both hard copy and email. Currently we are only sending hard copies to those for whom we do NOT have email addresses for.
  • Reminder to let the school board (Todd Nelson) know if our PTF Representative will not be at the monthly meeting.


3. TV’s in classroom:

PTF got a quote from Radio Shack for a flat screen high-definition TV – approximately $900.00. It was suggested that we get another quote from another retailer before making a final decision. Discussed whether we could afford to put them in all the classrooms or which teachers wanted them. Stephanie will check with the teachers, but would most likely place one for sure in Mrs. Stein’s classroom as this could also be used by the church. Jen & Cory Oace will research costs of TV’s and report back before the next meeting.


4. Microwaves:

It was suggested by a parent that PTF purchase new or additional microwaves for the classrooms so that the kids don’t need to wait to heat up their lunch. Mrs. Stein is working with the teachers to find out which classrooms actually need new microwaves.


5. Christmas Gifts for Teachers:

This was discussed but won’t be explained here in detail for obvious reasons. If you have questions or ideas regarding this, please contact Stephanie Earhart or Kris Golly.


6. Possible Fundraiser:

Sue Bradford explained that H&R Block will give $25 to the school for each family’s tax return they do in 2009. These must be for a “new” family – one for whom they did not do last years return for. Sue will get a little more information to give us next month.


7. E-Scrip:

Stephanie has access for coordinating FCS e-scrip online. She is putting together a packet of information regarding this for all parents. Stay tuned!


8. Auction:

Mellisa has downloaded the auction software that was purchased in 2003 and is working with the software company to learn all that it can do, and how it works. She is taking an online class this week as our tech support expired 2 years ago. It will cost us $199 for one year of tech support and computer updates – this seems like a good way to try it out to see how it will go before we commit for a longer period of time. It does seem fairly user-friendly and has a lot of features - way beyond what we need at this time. Discussion ensued regarding how we see this software helping us – it should alleviate a lot of the manual work we have done in the past.

The auction surveys aren’t all in yet – in fact there are a lot missing. If you haven’t taken a moment (okay, 10 minutes) to fill it out and send it in with your student, please do so! We really need your input! We have some decisions to make soon regarding the meal and childcare and what we do will depend a lot upon how many volunteers we have. Once all surveys are in, we will set up a separate meeting time to work on the auction only.

PTF Meeting Minutes
November 4, 2008


Attendees:  Mellisa Spivey, Jacque Allen, Michele Stein, Janet Hunsucker, Heather Ivey, Stephanie Earhart, Pastor Al, Jen Howard, Cathy Aime.

1.  Jog-a-thon wrap-up: Mellisa handed out a letter to the teachers showing the totals raised per class.  The totals were as follows: 

Pre-3:  $460              Pre-4:  $595              Kdgtn:  $135                        

1st/2nd: $433             3rd/4th:  $912             5th/6th:  $476         7th/8th:  $412

It was explained that it is up to each teacher to decide how they wish to use the money raised by their class.  Discussion ensued regarding different options for field trips and people/activities that can be brought in.  It was also suggested that whatever each one decides, to put it in their newsletters so that parents can see what the money is being used for.  For raising the most money, Mrs. Allen's class will be having an ice cream social.

2.  2007 Auction: It came up during discussion that some funds from last year's auction designated for purchasing TV/DVD/VCR's for the teachers' classrooms, has never been done.  Stephanie is going to check on some details regarding this, and then we will make sure it is taken care of before our next meeting.

3.  2008 Auction: Discussed what we would like some of the money raised to be designated for, i.e., what is the vision of the teachers for the school, what specifically are we raising the money for.  There has been a decision made recently to upgrade all levels of math and science curriculum, including new DVD's, lab materials, etc.  Some of the auction money raised could go toward this.  Discussed specific items each teacher could use in their room.  Another idea and goal Pastor Al brought up, would be to buy laptops for all the teachers.   If anyone has suggestions, please let us know.

Heather Ivey is going to be the Dessert Auction Coordinator.  There are several parents who have expressed interest in different areas.  The PTF board is going to get together in the next week to finalize committees, and then call upon parent volunteers to be Committee Heads.  We will make the auction the focus of our next PTF meeting and will ask those parents to please attend.  Also discussed food options and child care for the auction.  No decisions were made.

4.  New Business - A special thank you to Jen Howard who was able to coordinate the delivery of a load of bark chips to the preschool play area.  The entire load was unloaded and spread within a short time with the help of several of you.  Great job!  Now our preschoolers can play without mud puddles!

October 7, 2008


 
Attendees:  Jennifer Oace, Pastor Ed, John Ocheske, Christie Ocheske, Mellisa Spivey, Prairie Oak, Stephanie Earhart, Jen Howard, Cathy Aime.
 

1.        Opening prayer: Cathy Aime

 

2.        Christian story: Pastor Ed explained that it is helpful and edifying for us all to learn a little bit about each other so that we can be a cohesive group, and also supportive to one another.  So he asked each of us to briefly share our Christian story or journey around the table.

 

3.        Treasury report:

Account balance $8117.00

Recent expenditures include $126.00 for Mrs. Allen's class field trip to Wings of Wonder, $200.00 classroom furniture, and $150.00 for vision equipment used in Health Screening.  

 

4.        Review of school board meeting:

Several PTF members attended the last school board meeting on September 23rd.  They discussed the plans we have to use future fundraising monies to help fund field trips and similar activities.  It was suggested that for future meetings, if we let Todd Nelson know we are coming, he will put us on their agenda so that our issues can be discussed at the beginning of the meeting.  They were very appreciative of the attendance and support from PTF.
 

5.        Jog-a-thon:

-Ideas:  Miss Hunsucker suggested to Mellisa that she do a brief presentation to the 1st/2nd grade class, as she hasn't heard anything about the jog-a-thon from any of her kids.  Discussed whether we should do classroom presentations for all grades...decided we would do the phone tree for all classes which would serve two purposes.  1.  Remind parents/children to solicit donations and remember to send in footprints, and 2.  We need volunteers to help count laps at the jog-a-thon and help during lunch that day also.  Mellisa to do a brief script for callers.
 

Food/lunch:  Prairie reported that Harvest Fresh in McMinnville is donating rolls for lunch. We will need to send them a thank-you.  Jen Howard is working on getting donations for the fresh veggies and fruit.  Looks like Safeway is donating carrot sticks.

 

6.         Escrip:

We discussed ways to encourage our families, their friends, neighbors, etc. to get signed up.  This is such a great way to bring in some money for the school that doesn't cost anyone a thing if you already shop at Safeway, Macy's or use a VISA card.  Decided that Stephanie will research who coordinated this in the past and gather information on signing up families.  We will do a note to go home with each student first and then we will do the phone tree after that - but it was decided we would wait until after the first Fellowship Night to do anything.

       

7.        Fellowship Night - October 23, 2008:

Decided to have brownies and ice cream, coffee and water to drink.  Jog-a-thon results will be announced.  Discussed having ice breakers at the tables to help people socialize with those they don't know, or have a game.  Decided to play Heads or Tails game with prizes.  PTF (Stephanie) to purchase the ice cream and game prizes. 
 
 

8.   Auction:
 
      Will begin to work on after the jog-a-thon.
 
 

9.        Grandparents Day:

Program is this Friday, the 10th in Building 1.  Mellisa is helping where needed, however will also need clean-up help afterward.
 
 

10.        New Business:

Mellisa briefly explained the "Script" program - which is a pre-paid cash card that the school could purchase for a discount, than sell for face value.  Is used just like cash at many merchants.  Appears to be an excellent program, but probably beyond the scope of PTF, more of a "School Program".  Mellisa will prepare and present to the school board at their next meeting and report back to PTF.

PTF Meeting Minutes

September 9, 2008

 

Attendees:  Jen Oace, Mellisa Spivey, Cathy Aime, Ed Sutter, Jacque Allen, Jen Howard, Christie Ocheske, Susan Bradford, Prairie Oak, Stephanie Earhart.

 

1.  Opening prayer - Pastor Ed

 

2.  Review of PTF responsibilities

      Fellowship

      Service

 

3.  Treasury report

      Account balance $8584.96 

        Recent expenditures include approx. $4000 for building work and $7700 for PTF scholarships

 

4.  Election of new officers

      President - Jenny Howard

      Vice President - Prairie Oak

      Secretary - Cathy Aime

      Treasurer - Stephanie Earhart

 

5.  Classroom representatives

      Pre 3 - Prairie Oak

      Pre 4 - Jody Condon

      Kindergarten - Katie Ripplinger

      1st/2nd - Mellisa Spivey

      3rd/4th - Cathy Aime

      5th/6th - Jen Oace

      7th/8th - Susan Bradford

 

      Fundraising chairperson - Mellisa Spivey and Jenny Howard

      Fellowship chairperson - Prairie Oak and Susan Bradford

 

6.  Escrip campaign - we will use the phone tree system to call each family and encourage them to sign up.  Stephanie will make calling lists for each class (to eliminate duplicate phone calls for multiple siblings) and gather information from Terrie Wiens about signing up families. 

 

7.  Health screen - Prairie Oak and Stephanie Earhart will coordinate this.  We will send out an information sheet by the end of the week asking for volunteers.  Jen Howard will contact a retired dentist to see if he can help.  Jen Oace will be a backup helper in case we don't get enough volunteers.  We will meet with a smaller group on Thursday morning to make more detailed plans.

 

8.  Fall Fellowship night - we set the date for Thursday, Oct. 23.  We discussed having a Game Night, and will wrap up the jog-a-thon results that night.  We will need to have smaller meetings to finalize plans.

 

9.  Fall Fundraiser - Jogathon is set for Thursday, Oct. 16.  We will discuss this further in off-line meetings.

 

10.  Request for funds - Mrs. Allen requested funding for a field trip to Wings of Wonder on Sept. 26.  Approx. cost for admission for 16 students and 6 chaperones is $132.00.  The request was approved.

 

11.  Closing prayer - Jacque Allen.
